Using Alerts Composer to Send W2 Notifications in Oracle Fusion SaaS HCM

Introduction:

HCM Alerts Composer is a powerful feature within Oracle Fusion which allows for automated and customizable notifications.  Recently, we encountered a requirement to use Alert Composer to send emails about whether a document is made available in the personal Document of Record. Today, in Oracle HCM, a notification is not sent in a few cases if a DOR is made available, and it will be beneficial if a user receives a notification. In some cases, it is a compliance requirement to proactively let the personnel in your organization know that a document is published for their review.

E.g. Electronic W2’s are available or Your Payslip is available online for review and much more

In this blog post, we’ll explore a step-by-step guide on utilizing Alerts Composer in Oracle Fusion SaaS HCM to notify all employees after publishing the final W2 for a given year.

Step 1: Accessing Alerts Composer

To begin, log in to your Oracle Fusion SaaS HCM account with administrative privileges. Navigate to the “Tools” menu and select “Alerts Composer” from the dropdown list. This will open the Alerts Composer interface, where you can create, manage, and monitor alerts for various events within the system.

Step 2: Creating a New Alert

Once in the Alerts Composer, click on “Add” > “Resource Alert” button to initiate the process of crafting a new alert. You’ll be prompted to specify the Name and Description of alert you want to create. Select the “emps” resource.

Step 3: Defining Alert Filter

After selecting the event type, you’ll need to define the filter that triggers the alert. In this case, You can add an expression to trigger the alert for employees when the W2 for the year 2024 is finalized and published.

You can also add another filter to trigger the alert ONLY for Active assignments based on the resource “emps/assignment”

Step 4: Configuring Alert Templates

Next, configure the template by Adding a Template name and Clicking “Edit” > “Manage Recipients and Message”. Add the following Recipients:

Communication Method Expression
Worklist ${emps.userName}
Mail ${emps.WorkEmail}

Then, Add the following Message Text and suitable Subject for the Notification, both of which are completely customizable.

Step 5: Review and Test

Before activating the alert, review all configurations to verify accuracy and completeness. It’s also advisable to conduct a test run to ensure that the alert is triggered correctly and reaches the intended recipients. This step helps in identifying any potential issues or discrepancies that need to be addressed.

You can achieve the same by clicking on “Run Options” and running the Alert On Demand with “Simulate Run” turned on.

Step 7: Activate the Alert

Once you’re satisfied with the alert settings and have successfully tested it, activate the alert by clicking Save and Close. This action enables the system to monitor for the specified event and automatically notify employees accordingly.

Step 8: Monitoring and Management

After activating the alert, regularly monitor its performance and effectiveness. You can track these using the Alerts History tab, which reports on the number of employees processed, and the log file includes the person ID of the employees for whom the notification was sent.
